The Access to Memory (AtoM) Foundation is holding its Annual General Meeting (AGM) on November 12, 2025 at 9:00 a.m. PST / 12:00 p.m. EST / 6:00 p.m. CET (5:00 p.m. UTC).

As per the AtoM Foundation’s bylaws, the meeting is open to all members in good standing. Feel free to visit https://accesstomemoryfoundation.org/ and click on the login button to verify your membership status.

We hope you will be available to join us for this meeting. We are looking forward to discussing the work done over the past year by our dedicated volunteers and to receiving your feedback and input with regards to the priorities and future directions of the AtoM Foundation.

Call for Volunteers - AtoM Board of Directors

The AtoM Foundation is seeking volunteers to contribute their expertise and enthusiasm to our mission of facilitating access to archival collections. The Foundation’s role is to oversee and support the development, sustainability, and adoption of Access to Memory (AtoM) as a multilingual, multi-repository open-source application for standards-based archival description and access.

As a volunteer with the AtoM Foundation, you will have the opportunity to:

contribute to the development and improvement of AtoM software, a leading open-source archival application;
assist in documentation and community-building efforts to ensure that users are equipped to make the most of AtoM and participate in its ongoing development;
collaborate with a broad community of archivists and information professionals dedicated to promoting access to cultural heritage.

We are currently recruiting for the Board of Directors.

Hello AtoM Foundation Members.

I wanted to introduce myself to you and to ask you to save the date for our upcoming AtoM Foundation AGM in November. As the new Chair of the AtoM Foundation Board of Directors, I can tell you that your Board and committees have been working very hard over the past year on governance issues to help move the Foundation forward in its goals of improving and ensuring the long-term sustainability of the AtoM software. We are very excited to have this opportunity to inform you about all our hard work and to hear from you all with regards to the future directions of the AtoM Foundation.

For now, I ask that you please keep November 22nd free as we aim to hold the AGM on this date. I will be in touch in the coming weeks with the formal notice of the Annual General Meeting as well as an agenda for discussion.

The Board of Directors consists of:

The AGM will include the Foundation’s election for the Board of Directors. Board members are elected for two-year terms. Once the new Board of Directors is elected by the membership, the new Board will appoint officers (Chair, Vice-Chair, Secretary, and Treasurer).

There are up to six positions open this year, with David Alexander, Heather Gordon, Jeremy Heil, Tim Hutchinson, and Regina Landwehr having reached the end of their terms. David, Tim, and Regina have all expressed a desire to stand for re-election, leaving up to three positions uncontested.

What does the Board do?

The Board of Directors oversees the Foundation and its activities to support the AtoM community, with a current focus on the development of AtoM 3. The Foundation has contracted a part-time secretariat service to enable board members to focus more on planning, fundraising, and organizational development rather than day-to-day operational issues.

What is the time commitment?

The Board is currently meeting monthly (by conference call for approximately 1.5 hours), with some discussions and work between meetings. This time commitment is likely to be fluid, depending upon the time of the year and ongoing activities and deadlines.

Helpful experience

Individuals with some of the following skills and experience would be especially welcomed candidates for the AtoM Foundation Board of Directors:

Managing budgets, projects, fundraising, writing grant applications
Experience with communications and marketing
Experience using AtoM software
Experience with other open source projects
Experience with non-profit governance
Experience using archival description standards (RAD, ISAD(G), DACS, Dublin Core, ISAAR-CPF, etc.)
Experience with metadata standards (e.g., EAD, EAC, PREMIS, METS, RDF, etc.)

How to apply

Interested candidates should submit a short expression of interest that explains their interest in joining the AtoM Foundation Board of Directors. Please outline your experience with AtoM and any other relevant knowledge, skills, and experience. Please also indicate your current membership status. While membership in good standing is encouraged, a membership is not required for election to the Board of Directors.

I am writing to you today to provide you with an update on the recent activities and developments of the Access to Memory (AtoM) Foundation.

AtoM 3 Roadmap Committee

The Roadmap Committee (RC) is charged with developing recommendations relating to the functional and design requirements for AtoM 3, using a framework that will allow progression from broader user stories to more detailed requirements. It is also charged with participating in request for proposal processes relating to the development of AtoM 3.

We are thrilled to announce the composition of the newly formed AtoM 3 Roadmap Committee, comprised of the following individuals:

Alex Garnett       Simon Fraser University
Dan Gillean         Artefactual Systems
Cliff Hight            Kansas State University Libraries (Special Collections)
Anna McNally     University of Westminster, UK
Vicky Phillips       National Library of Wales
Kim Stathers       Northern BC Archives & Special Collections
Dave Stewart     Royal BC Museum

The RC will be guided by Board members Karen Trivette, Associate Professor and Head of Special Collections and College Archives for the Fashion Institute of Technology-State University of New York, and Qing (Jason) Zou, Interim University Librarian at Lakehead University. Karen and Jason will act as Co-Liaisons to the RC.

Together, this eight-member RC, plus the Co-Liaisons, reflects a diverse array of institutions, roles, and locales; this diversity will foster the development of AtoM 3 to be a universally applicable tool across institution types and indeed the globe.

AtoM Foundation Board Composition

I regret to announce the departure of Lara Wilson, former Chair of the AtoM Foundation Board, who stepped down from the Board this past month. Remaining members wish to thank her for her valuable service and they wish her well in all her future endeavors. With Lara’s departure, Jeremy Heil of Queen’s University Archives will now serve as Chair, and Karen Trivette will take over the role of Vice-Chair.

Lastly, with a vacancy on the AtoM Foundation Board of Directors, the Board is actively seeking another member to serve until the next Annual General Meeting in September 2020. Pour terminer, le Conseil d’administration de la Fondation AtoM a donc présentement un poste vacant et est à la recherche d’un nouveau membre qui serait intéressé à siéger jusqu’à la prochaine Assemblée générale annuelle en septembre 2020. Elections

The inaugural Board of Directors consists of:

Then, the Foundation will hold an election for up to six directors’2 positions. Inaugural Board members Paul Hebbard and Lara Wilson will seek election for a two-year term.

Les candidats intéressés devraient soumettre une brève expression d‘intérêt décrivant ce qui les motivent à vouloir siéger au conseil d’administration de la Fondation AtoM. Il faut exposer son expérience avec AtoM de même que toutes autres connaissances, compétences et expérience, et préciser quel est son statut de membre. Bien qu’il soit souhaitable d’être membre en règle, il n’est pas obligatoire d’être membre pour être élu au conseil d’administration.

AtoM Foundation survey on design and development of AtoM 3 / Sondage de la Fondation AtoM sur la planification et le développement d’AtoM 3

Colleagues,

The Access to Memory (AtoM) Foundation is pleased to launch a community survey about the design and development of AtoM 3, a successor version to the AtoM 2 software currently used by archival institutions all over the world. Please complete the survey at: https://www.surveymonkey.com/r/atom3survey.

The survey will also allow the Foundation to gather feedback on an AtoM 3 proof of concept proposal submitted to the Foundation by an international group of organizations dedicated to developing and supporting open-source software: AIM 25 (UK), Artefactual Systems (Canada), Docuteam (Switzerland), Imagiz (UK), Nothing Interactive (Switzerland), and Zazuko (Switzerland). The AtoM Foundation invites survey participants to review the proposal on the Foundation’s website at [link]. Participants are not required to review the proposal before completing the survey.

Update from the AtoM Foundation

Colleagues,

The inaugural Board of Directors of the Access to Memory (AtoM) Foundation is pleased to share some news about the Foundation’s efforts to guide the development of AtoM 3, a successor version of the current AtoM software.

Since we announced the incorporation of the Foundation, we have been working to establish a framework to guide the development of AtoM 3. We are developing a preliminary survey that will help gather information about current usage of AtoM 2 and the community’s functional and design requirements of AtoM 3. The survey will be released in English and French later this fall and will be open to all members of the archival community. The inaugural BoD encourages responses from Canadian and international communities.

We are beginning to organize the first Annual General Meeting in Fall 2019. The AGM will be open to all Institutional Members and non-voting Individual Members. More information about the first AGM will be shared in the coming months.

The AtoM Foundation will oversee and support the development, sustainability and adoption of Access to Memory (AtoM) as a multilingual, multi-repository open source application for standards-based archival description and access. The Foundation’s primary focus is leading the planning and development of AtoM 3. The planning and development work will be consultative, transparent, and member-driven.

Establishment of the Access to Memory (AtoM) Foundation

We are pleased to announce the establishment of the Access to Memory (AtoM) Foundation, a federally incorporated, community-driven, soliciting non-profit body. The Foundation was established to oversee and support the development, sustainability and adoption of Access to Memory (AtoM) as a multilingual, multi-repository open source application for standards-based archival description and access. The Foundation’s primary focus will be on leading the planning and development of AtoM 3, a successor version of the current software.

We believe a non-profit foundation is the best way to provide governance and promote community involvement in the development and maintenance of AtoM 3. AtoM is not just a software tool, it is an open-source project. Being open-source has profound implications for how software is developed, released, documented and made available to communities of users around the world. The Foundation wants to give organizations that use AtoM, or who are considering using AtoM, a stake in how the software evolves.

The Foundation will lead the development of AtoM 3 by soliciting funds from members and others to rewrite the software so that its sustainability is assured and its overall functionality enhanced while reflecting the descriptive needs of the archival community.

The Foundation also wants to support future migration from AtoM 2 to AtoM 3 to ensure users of the software can continue to rely on their current instances of AtoM while feeling confident that the development of a new version does not mean they will be left behind.
